Heads Up: Annual AGIIS Maintenance

Every November, we perform a series of maintenance activities for AgGateway’s Ag Industry Identification System (AGIIS). This maintenance ensures that entities in AGIIS are updated to comply with standards set by the Unites States Postal Service and that any duplicate entities are inactivated and replaced with an active surviving record. This maintenance also ensures that GLNs eligible for reuse are posted to the AGIIS website, giving subscribers the opportunity to review and apply exemptions to reuse as necessary.

It is important that AGIIS subscribers are aware of, and plan for these activities. Maintenance activities begin with a communication sent to all AGIIS subscribers with dates and descriptions of each planned activity. This year’s communication was sent on November 22. Subscribers that normally receive a daily, weekly or monthly update extract, will receive their normal updates in a separate file on Saturday, December 4 and Saturday, December 18. An additional file will be sent to subscribers on Sunday, December 5 and Sunday, December 19, which will contain updates resulting from annual maintenance and annual de-duplication, respectively. To keep synchronized with AGIIS, it is important that subscribers have a plan in place to consume these updates and apply them to their internal systems.

Below is a recap of the communication sent out on November 22, complete with descriptions of each planned activity and the dates in which they will be carried out. Member Services will send out a reminder notification one week ahead of each scheduled maintenance activity.

Monday, November 29 – GLN Reuse List File Generation

GLNs that are eligible for reuse will be posted to the AGIIS website. These are GLNs that have been inactive for four years and are eligible to be placed into the GLN Reuse Pool, meaning they can be reassigned to a new entity. Subscribers will have 47 business days to review this list and add an exemption to the GLN, which will prevent it from being added to the Reuse Pool.

Saturday, December 4 – Annual Maintenance

Locatable Address Conversion System (LACS) - LACS updates are made to rural route addresses, replacing them with a physical address.

National Change of Address (NCOA) - NCOA updates are applied to entities in AGIIS that have reported an address change to the U.S. Postal Service.

City/State Review - Entities are reviewed to ensure the city and state validate with the postal code assigned.

Address Standardization Update - Addresses on AGIIS entities will be standardized according to USPS standards.

Subscribers that receive a daily, weekly or monthly Update Extract will receive their normal update extract on Saturday, December 4. Updates to your subset resulting from annual maintenance will be sent in a separate file on Sunday, December 5.

Saturday, December 18 – Annual De-Duplication

The annual de-duplication process identifies duplicate entities in AGIIS and determines one surviving record based on a set of survivorship prioritization rules. Subscribers that receive a daily, weekly or monthly Update Extract will receive their normal update extract on Saturday, December 18. Updates to your subset resulting from annual de-duplication will be sent in a separate file on Sunday, December 19.

Saturday, February 5, 2022 – GLN Reuse Implementation

GLNs eligible for reuse that have not been exempted during the 47-business day review period will be added into the GLN Reuse Pool.
